Ask most GCs why a vendor quote took two weeks instead of two days, and you'll get some version of "the supplier was slow." That's rarely the real story. Suppliers respond fastest to whoever follows up the most consistently — and on a typical project, nobody owns that job full-time. The estimator is buried in the next bid, the PM is on site, and the request sits in an inbox until someone remembers to chase it.
1. The first send gets no reply, and nobody follows up for a week. Suppliers triage their inbox by urgency. A single unanswered email reads as low priority. A same-day and next-day follow-up reads as a live, serious buyer.
2. Quotes come back in three different formats. One supplier quotes a unit price, another quotes a lump sum, a third leaves out freight. Comparing them takes almost as long as getting them in the first place.
3. Lead time and MOQ get buried in fine print. Price alone isn't the decision — a cheaper quote with a six-week lead time can cost more than a pricier one that ships this week.
It's not a faster supplier. It's a dedicated follow-up cadence: an initial request the same day the scope is finalized, a check-in within 24 hours if there's no reply, and a second check-in at 48 hours before escalating to a phone call. Most suppliers will move a quote to the top of their queue for a buyer who's clearly going to keep asking.
The second piece is standardizing the ask. Requesting price, lead time, and MOQ as three explicit line items — every time, from every supplier — means quotes come back in a comparable shape instead of needing to be reverse-engineered later.
